Booking terms & conditions

These are the terms you are agreeing to when you book a trip with Luxury Retreats Travel. We have tried to write them in the same plain English we use everywhere else on this site. If anything here is unclear, ask us before you pay — we would far rather explain it now.

Who you are booking with

In these terms, “we”, “us” and “Luxury Retreats Travel” mean Luxury Retreats Travel, a travel business based in the United Kingdom. “You” means the person making the booking and everyone named on it.

The person who makes the booking must be 18 or over, and by booking confirms that they have the authority to accept these terms on behalf of everyone in their party. That person is responsible for making sure the payments are made and for passing our messages on to the rest of the party.

Making a booking

A booking is made when you pay a deposit through this website, or when we confirm a booking to you in writing after taking payment another way.

Your booking is only confirmed once we have sent you a confirmation. Until then, no contract exists between us, even if a payment has left your account. If for any reason we cannot confirm a booking after taking money from you, we will refund it in full.

Please check your confirmation as soon as you get it. Names must match the passports being travelled on. Tell us straight away if anything is wrong — airlines and hotels charge to correct names later, and those charges are passed on.

Paying for your trip

Deposit. A deposit of £50 per person is payable at the time of booking. This holds your place, and it is non-refundable.

Balance. The balance of the price is due 8 weeks (56 days) before departure, unless your confirmation states a different date, in which case that date applies. You may pay the balance in one go or in as many part payments as you like — there is no set instalment plan, no interest and no fee. Just tell us and we will send you a payment link.

Late bookings. If you book within 8 weeks of departure, the full price is payable at the time of booking.

If the balance is not paid. If we have not received the balance by the due date we will chase you first. If it remains unpaid we may treat the booking as cancelled by you, and the cancellation charges in clause 6 will apply.

How payments are taken. Card payments are processed by Stripe. We do not see or store your card details. Where Klarna is offered at the checkout, it is provided by Klarna under their own terms and their own eligibility checks — what they offer depends on the amount and on them, not on us.

What the price includes

Exactly what is included varies from trip to trip, and it is set out on each trip page and repeated in your confirmation. That page and your confirmation are what count.

As a general rule our prices include your accommodation for the nights stated on the board basis stated, airport transfers at the destination, and the excursions listed on the trip page.

Prices are quoted per person based on two people sharing a room, unless stated otherwise. A single room is usually available for a supplement — ask and we will price it before you book.

Our prices do not include travel insurance, visas, vaccinations, meals and drinks outside the stated board basis, or anything of a personal nature such as spa treatments, shopping, tips and additional excursions.

Flights

On most of our trips, flights are not included. Where that is the case it is stated clearly on the trip page and in your confirmation.

Where flights are not included, you book your own. We will tell you which flights the group is travelling on so you can book alongside us, and we arrange the transfers around those flights. You are responsible for your own flight booking and for any change or cancellation charges your airline applies.

If your own flight is delayed, cancelled or rescheduled, that is a matter between you and your airline. We will do what we reasonably can to help — rearranging a transfer, holding a room — but we cannot refund any part of the trip price for time lost because of a flight.

If you cancel

Cancellations must be sent to us in writing by the person who made the booking, and take effect on the day we receive them.

Because we book and pay for rooms, transfers and excursions well ahead of departure, the following charges apply:

  • More than 56 days before departure — you lose your deposit
  • 56 to 29 days before departure — 50% of the total price
  • 28 to 15 days before departure — 75% of the total price
  • 14 days or fewer before departure, or not turning up — 100% of the total price

If you have to cancel for a reason covered by your travel insurance, you may be able to claim back what you have lost. This is one of the main reasons we ask everyone to have insurance in place from the day they book.

If one person in a room cancels and the other still travels, the room may become a single occupancy room, and a single supplement may become payable by the person travelling.

If you change your booking

Tell us as early as you can and we will do what we can. Changes to names, rooming or dietary requirements are usually straightforward and free.

Changing dates or destination is a cancellation and a new booking, and the charges in clause 6 apply. Where a hotel or supplier charges us an amendment fee, that fee is passed on to you at cost.

You may transfer your place to someone else if they meet the conditions of the trip and the suppliers will allow it. We will pass on any charge the suppliers make for the change.

If we change or cancel

Occasionally we have to change something. Most changes are minor — a different room type, a change to the order of excursions, a different restaurant — and we will tell you as soon as we know.

If we have to make a significant change, meaning a change to your resort, a change of destination, or a significant change to the length of the trip, we will tell you as soon as possible and you may choose to accept the change, take an alternative trip if we can offer one, or cancel and receive a full refund of everything you have paid us.

Some of our trips need a minimum number of people to run. Where that applies it is stated on the trip page. If we have to cancel a trip because that number is not reached, we will tell you as early as we can and refund everything you have paid us in full. We will not cancel a trip for that reason within 8 weeks of departure.

We may cancel a trip at any time for reasons beyond our reasonable control — war or the threat of it, civil unrest, terrorism, epidemics, natural disaster, adverse weather, port or airport closures, or government advice against travel. In those circumstances we will refund what we have been able to recover from our own suppliers, and we will always tell you honestly what that is. We are not liable for any other losses, which is again why insurance matters.

Insurance, passports and visas

Travel insurance is a condition of travelling with us. You must have a policy in place that covers you for the destination, the activities on the trip, and cancellation, from the day you book. We may ask to see it.

You are responsible for making sure your passport is valid for the country you are travelling to — many require at least six months' validity beyond your return date — and for obtaining any visa you need. We will tell you what we know about the requirements, but the requirements are set by governments and can change, and checking them is your responsibility.

You are also responsible for any vaccinations or health requirements. If you are refused entry or boarding because of a passport, visa or health document, we cannot refund the trip.

Your money and financial protection

We are a Member of ABTA, membership number P7384. ABTA is the UK travel association, and membership means you are dealing with a company that works to a code of conduct and that has to meet ABTA's financial criteria.

Where the arrangements we sell you are a package within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018, we are required to protect the money you pay us and to arrange your return home in the unlikely event of our insolvency. Our ABTA membership provides that protection for the packages we sell that do not include a flight.

Where flights are not included in the price — which is the case on most of our trips, and is always stated on the trip page — your booking is not an ATOL-protected flight package. The flight you book yourself is protected, or not, by whatever arrangements your airline or flight agent provides, and that is worth checking when you book it.

ABTA also gives you somewhere to go if we cannot resolve a complaint between us. Their scheme is set out at abta.com. It does not replace your rights in law; it sits alongside them.

Behaviour and the rest of the group

Our trips are small groups, and that only works if everyone gets on. We ask that you behave with consideration for the rest of the group, for our staff, and for the people and customs of the country you are visiting.

If your behaviour is causing, or is likely to cause, danger, distress or damage, we or our suppliers may end your trip. If that happens we are not liable for any refund, for the cost of getting you home, or for any other cost you incur, and we may pass on any claim made against us as a result.

Health, mobility and dietary needs

Tell us at the time of booking about any medical condition, disability or mobility need that could affect your trip or the arrangements we make. We will tell you honestly whether the trip is suitable and what we can do — we would rather have that conversation before you pay than after.

Halal and other dietary requirements are arranged with the resort in advance wherever you tell us in good time. Allergies must be declared in writing at the time of booking so that we can put them to the resort directly.

If something goes wrong

If something is not right while you are away, tell us there and then. We will have someone contactable throughout, and most things can be fixed on the spot. Problems raised for the first time after you get home are much harder to put right, and raising it at the time is a condition of any claim.

If you are still not satisfied when you get home, write to us within 28 days of returning and we will look into it properly and reply.

We accept responsibility for the arrangements we have agreed to provide, and for the acts and omissions of our suppliers in providing them. We are not responsible for anything you arrange yourself, or for events that were unforeseeable or unavoidable. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud, or for anything else that cannot be limited by law.

Your data

We collect the details we need to make your booking — names as they appear on your passport, dates of birth where a supplier requires them, contact details, and anything you tell us about dietary, medical or mobility needs.

We share those details with the hotels, transfer operators and excursion providers on your trip, and only for the purpose of running it. We do not sell your data or pass it to anyone else for marketing.

You can ask us at any time what we hold, ask us to correct it, or ask us to delete it once your trip is over and we no longer need it for our records. See our privacy policy for the full detail.

Law and jurisdiction

These terms, and any contract between us, are governed by the law of England and Wales, and any dispute will be dealt with by the courts of England and Wales.

Nothing in these terms affects your statutory rights as a consumer.
